Start with where inquiries get stuck.
For a small B2B team, a routing problem often appears between systems: a form accepted the request, the CRM retained a contact, and a Slack channel received an alert, but nobody can show who accepted responsibility.
Map one actual inquiry through receipt, account resolution, assignment, acknowledgement, and response evidence. Find the first stage where the record stops being reliable. That observation tells you more than adding another score field.
Give existing ownership precedence.
A repeat request can belong to an existing customer or an account already managed by a representative. Evaluate that relationship before distributing a new assignment. When ownership is ambiguous or the owner is inactive, route the exception to an approved coordinator instead of silently replacing the relationship.
Make unknown information usable.
Missing employee count or job title should not automatically disqualify an explicit demo request. Transparent rules produce a score interval and a review or default route. An accountable handoff can proceed while optional facts remain unknown.
Agree what happens at the boundary.
| Situation | Required operational answer |
|---|---|
| No eligible representative is available | A named fallback and a visible next working deadline |
| CRM or Slack delivery is uncertain | A durable record, an explicit delivery state, and reconciliation |
| The workflow allowance is exhausted | Bounded intake and nonbillable manual fallback |
| Response logging is incomplete | Visible telemetry coverage rather than an invented breach |
| Policy changes after assignment | Original decision history remains; old work is not silently reassigned |
Where this is a fit.
The starting audience is a small US or Canadian B2B software sales team using HubSpot and Slack with meaningful demo or trial inquiries. Setup is assisted. The source must retain requests and support a reliable server-side integration.
For a fully self-service product with no human sales handoff, another owner-routing system may add little value. For a team whose native HubSpot workflows already meet its needs, begin with the native tooling assessment.
